Can't log in or locked out
Owners self-serve at /signup and reset passwords from the sign-in page; team member accounts come from invites — and every lockout has a fix.
Troubleshooting7 in this section
Two doors into Service VIN: shop owners create their own account at the public /signup page (it starts the free trial and creates the shop), while team members are always added by an owner or manager from Team — open the member, use the Access tab, and Invite to log in. The invite lands the person on a set-your-password page; if invite emails aren't configured, the same tab shows a copyable sign-in link you can text them instead. Forgot your password? Use “Forgot password?” on the sign-in page to email yourself a reset link — no owner required.
Locked out? Work through this
- 1
Reset your password
Tap “Forgot password?” on the sign-in page and open the emailed link — it lets you choose a new password on the spot. Team members can alternatively ask an owner or manager for the copyable sign-in link under Team → Access, which works even when email was never set up.
- 2
Check the email matches
If you can sign in but see "Ask your shop owner to add you", your account exists but has no membership in the shop — almost always an email mismatch. The owner should confirm the address on your Access tab matches the one you sign in with, and re-invite with the right one if not.
- 3
Expired invite?
The login page saying "That invite link has expired or was already used" means exactly that — ask for a fresh link from the Access tab; the old one is dead.
- 4
Stuck bouncing between pages?
A stale session cookie (after a long absence or a database change) can bounce you between the login page and the app. Sign out fully — or clear the site's cookies — and sign in again.
- 5
Lost the device instead? Sign out of all devices
The opposite problem — you're in, but something else is too. Settings → Security → Sign out of all devices ends every open session on your account at once: every browser, both phone apps, the tablet in the bay. It signs this browser out too, so you'll come back through the sign-in page. Change your password first if someone might know it, otherwise they can just sign back in.
Troubleshooting
A new team member can't find anywhere to sign up.
Why: Team member accounts are created by invitation, never self-serve — the public /signup page is only for owners starting a brand-new shop (it creates a separate shop and trial).
Fix: An owner or manager adds them in Team, then invites them from the member's Access tab (or texts them the copyable sign-in link). They should NOT use /signup.
Signing in lands on "Ask your shop owner to add you".
Why: The account has no membership in any shop — usually the invite went to a different email than the one used to sign in.
Fix: The owner checks the email on the member's Access tab against the sign-in address, and re-invites with the correct one.
The login page says the invite link expired or was already used.
Why: Invite links are single-use and time-limited.
Fix: Ask a manager to issue a fresh link from Team → Access and use it promptly.
A phone or tablet with Service VIN on it was lost, or someone is still signed in on a machine you don't control.
Why: A signed-in device stays signed in — that's the point of not retyping a password every morning — so the only fix is to end the sessions themselves.
Fix: On the account that was signed in there: Settings → Security → Sign out of all devices. Every browser and both phone apps are signed out straight away and notifications stop going to them. Change the password on the same page first if it might be known, then sign back in normally. It only affects that one login — colleagues stay signed in.
Someone forgot their password.
Why: It happens — and it's self-serve to fix.
Fix: Use “Forgot password?” on the sign-in page to email a reset link; opening it lets them choose a new password. For team members, an owner can alternatively send a fresh sign-in link from their Access tab.
Common questions
Does Service VIN have a signup page?
Yes — shop owners create their account and shop at /signup and start a free trial (the “Start free” buttons on the marketing site land there). Team member logins stay invite-only: every login belongs to a roster entry with a role attached, so your crew joins from an owner's invite, not open signup — that's what keeps accounts tied to the right shop.
Who can send invites?
Owners and managers, from any team member's Access tab. Techs can't invite anyone.
How do I log out of every device at once?
Settings → Security → Sign out of all devices. It ends every open session on your own account — every browser, both phone apps, any tablet — and each one has to sign in again. It signs out the browser you press it in as well, so expect to land on the sign-in page. It never touches anyone else's login, and it doesn't change any shop data. If someone may know your password, change it (top of the same page) before you press it.
