What does Customer Management include?

Every customer gets one record: contact details and preferences, their vehicles, quotes, invoices, jobs, text conversations, warranties, referral relationships and staff notes — merged into a single timeline. On top of the record you get live lifetime value and balance due, self-updating statuses (New, Active, Repeat, At-risk), a VIP flag, referral revenue attribution and a searchable, filterable customer list.

How does it help grow recurring revenue?

Three ways. Statuses compute themselves from real activity, so customers with history who've gone quiet for 12 months surface as At-risk — a ready-made win-back list. The Win-back AI and automations then do the reaching out: rebook nudges, follow-ups and review requests in your shop's voice, with opt-outs and quiet hours handled. And because every job, message and warranty is on the record, whoever answers the phone sounds like they remember everything.

Are warranties part of Customer Management?

Yes. You register coverage against the customer and the specific vehicle — with a real warranty number drawn from the same per-shop counter as your invoices, the type (manufacturer, shop or extended), what's covered, the start date and the term. The expiry is computed for you and lapsed coverage shows itself on the record. It's proof of professionalism at claim time and a built-in reason to reconnect at renewal time.

Can it track referrals and VIP customers?

Yes, both. Set “referred by” on any customer and the record shows the relationship in both directions — who sent them, and everyone they've sent — with the actual revenue each referral has produced, computed from paid invoices. VIP is a one-tap flag that shows on every list and record, so your whole team knows who gets front-of-line treatment. The list filters by VIP and every status in one tap.

How does lifetime value stay accurate?

It isn't a number anyone maintains — Service VIN computes it live from your invoices (what's actually been collected) every time a record or list renders. Balance due works the same way from open and partial invoices. There's nothing to update, so there's nothing to go stale.

Can I import my existing customers?

Yes — the CSV importer takes the spreadsheet you have today, understands common column names (including a vehicle per row), and lands everyone as full records ready to quote. Thousands of rows take minutes, and skipped rows are reported so nothing silently disappears.

What about texting consent and opt-outs?

Consent is part of the record: each customer carries a preferred channel, a text-reminders setting and an explicit marketing-consent flag, and every automated send honors them along with quiet hours. An opted-out customer simply doesn't get marketing texts — you don't have to remember, because the system does.

Do customers need an account for the portal?
