SMS Opt-In Policy

This policy covers text messages sent from Service VIN's own toll-free support line. It sets out the three ways somebody comes to receive one, the exact announcement a caller hears before we text them back, what we will and will not send, how often, and how to stop at any time.

This policy is about the line Service VIN itself answers and sends from. It is not about the messages a shop sends to its own customers from its own number — that shop is the sender, and the rules that bind it are in Section 6 of our Terms of Service.

2. Who we are

Service VIN is software for automotive service shops — paint protection film, window tint, detailing and auto repair. Obsidian Auto Inc. operates Service VIN.

This toll-free number is our own customer support line. It is printed on our website, on our invoices and inside our software. It is not used for any marketing programme, and there is no subscriber list attached to it.

3. What this number is used for

Customer care and account notifications only. Three kinds of message, and nothing else:

  • Two-way support replies to people who text or call this number first.
  • Account notifications to existing paying customers about their own account — billing, phone number porting, outages, and support tickets they raised.
  • A single automated text back to a caller we could not answer live, sent only after that caller has verbally agreed to receive it on a recorded call.

We send no promotional, advertising or sales messages from this number.

4. How recipients opt in — method 1: they text us first

This is the primary method. A person texts the support number published on our website and on our invoices. That inbound message is the consent, and we reply in the same conversation. We do not initiate these threads.

5. How recipients opt in — method 2: verbal consent on a missed call

When someone calls this line and no agent is free, the caller hears the following recorded announcement before any text is sent. This is the verbal consent script, word for word:

“Thanks for calling Service VIN — sorry we missed you. If you’d like our support team to text you back at this number, say yes after the tone and tell us briefly what you’re calling about. Message and data rates may apply, and message frequency varies. Reply STOP to any message to opt out, or HELP for help. Our privacy policy is at servicevin dot com slash privacy. If you’d rather not receive a text, hang up and we’ll return your call instead.”

Example call.

  • Caller dials +1 888 996 9298. No agent is available.
  • The system plays the announcement above in full.
  • Caller: “Yeah, that’s fine — I’m trying to move my phone number over from my old software.”
  • Call ends. The caller’s spoken agreement is captured in the call recording.
  • Our system sends the text back shown as sample message 1, which repeats the rate, frequency, HELP and STOP disclosures.

A caller who does not verbally agree receives a return phone call instead. No text is sent to that number.

How the verbal consent is recorded and stored. For every missed call we store the caller’s phone number, the date and time of the call, the audio recording containing the caller’s spoken agreement, and the identifier of the exact announcement version played. These are written to a consent record in our database and retained for the life of the record plus three years. The record is available on request.

6. How recipients opt in — method 3: existing paying customers, at sign-up

Shop owners give us a phone number when they set up their Service VIN account. The number field carries this disclosure directly beneath it:

We’ll use this to reach you about your own account — billing, phone number porting, outages, and support tickets you raise. If it can receive texts, we may text you about those. Message and data rates may apply. Message frequency varies. Reply STOP to opt out or HELP for help. This is not a marketing list.

We text these customers only about their own account.

7. What we do not do

We do not buy, rent or import phone lists. We never send promotional or advertising messages from this number, and this is enforced in software rather than by policy: our send path refuses any number that has neither contacted us first, nor verbally consented on a recorded call, nor belongs to an existing paying customer. It also refuses any message containing a URL.

Mobile phone numbers and SMS consent collected by Service VIN are never sold, rented or shared with third parties for their own marketing purposes.

8. Message frequency

Conversational and low volume. Typically fewer than five messages per person per month, and only in response to something the recipient started.

9. Rates

10. HELP and STOP

Reply HELP or INFO for help. Reply STOP at any time to opt out. STOP, STOPALL, UNSUBSCRIBE, CANCEL, END and QUIT are all honoured automatically and immediately, and we send a confirmation. Reply START, YES or UNSTOP to resubscribe.

1. Text back after a missed call, following verbal consent.

2. Support agent replying to a customer who texted us first.

Hi Dave - that invoice screen is under Jobs > Invoices, and I’ve corrected the tax rate on your account. Give it a refresh and let me know if it still looks wrong. - Ryan, Service VIN. Reply STOP to opt out.

3. Account notification to an existing customer.

Hi Sam - your Service VIN phone number finished porting this morning and calls are live. Nothing else to do on your end. Reply here if anything looks off. Reply STOP to opt out.
