Booking slots look wrong (too few or too many)

The storefront and AI Scheduler read your real bays, team hours, and calendar — so wrong slots mean stale shop data or an untuned knob.

The booking storefront and the AI Scheduler answer the same question from the same data: is a capable bay free, is an eligible installer free and on shift, and does nothing on the calendar overlap? They read your Stations, your Team hours and time off, and the shop calendar live. When the slots look wrong, the data is wrong — the fix is almost never in the booking settings themselves.

Diagnosis, from most to least common

    Count your active stations

    Zero active bays means zero capacity — every day shows as full. Also check whether the affected service is restricted to specific bays that have since been deactivated.

    Check hours and time off

    Business hours (day start/end, weekend toggles) come from Settings → Shop profile. Installer rosters and time off live on each Team member; an installer with no recurring hours on file is assumed to work full shop hours.

    Check the calendar

    A shop-wide holiday or all-hands closes every bay for its window. The reverse matters too: time off that was never recorded doesn't block anything, so slots appear that you can't actually staff.

    Check the two public knobs

    Lead time (default 2 hours) hides near-term slots; the booking horizon (default 14 days) caps how far ahead customers see. Both live under Settings → Online booking → Availability.

    Check the service's pricing

    A service with no base price and no per-vehicle tier prices is hidden from the storefront entirely — it looks like missing availability but is really an unpriced catalog entry.

Tip

Online bookings land as jobs without a bay assigned, and the capacity model counts them against every capable bay — deliberately conservative, so the storefront can never double-book you even before you assign the job.

Troubleshooting

Every single day shows as full.

Why: No active stations — capacity is literally zero — or the service is restricted to bays that are now inactive.

Fix: Add or reactivate bays under Services → Stations, and review the service's bay restrictions.

Days you're open show no times, or hours are shifted.

Why: The shop's business hours (day start/end, Saturday/Sunday toggles) or timezone are stale in Shop profile.

Fix: Update Settings → Shop profile — saving business hours also updates the scheduler's working window.

Nothing is bookable today, or past two weeks out.

Why: The lead-time knob (default 2 hours) hides near-term slots, and the horizon (default 14 days) caps the range.

Fix: Tune both under Settings → Online booking → Availability. No migration or env change needed.

Slots show while your only installer is on vacation.

Why: The time off was never recorded, so the availability engine has no reason to block those days.

Fix: Add time off on the team member's page (or a shop-wide holiday on the calendar for closures). Recorded absence blocks slots immediately.

More slots appear than the shop can really take.

Why: Jobs missing scheduled start/end times don't occupy capacity, and extra bays left active overstate it.

Fix: Keep the calendar honest: give every real job its scheduled window, and deactivate bays you don't actually run.

One service never appears online at all.

Why: It has no customer-facing price (no base price, no vehicle tiers), or its show-online flag is off — unpriced services are hidden by design.

Fix: Open the service, set a base price or per-vehicle tier prices, and check its online visibility flag.

Common questions

Why does a long service show fewer times than a short one on the same day?

A slot must fit the service's full hands-on duration (plus your buffer) before closing time, with a bay and an eligible installer free for the whole window. Longer services simply have fewer windows that qualify.

Can a customer grab a slot that was taken while they had the page open?

No — the same availability check re-runs at submit time, and a slot taken between page-load and submit is rejected rather than double-booked.
